(1) Formulation of Personal Information Protection Management Rules and Continuous Improvement of Personal Information Protection Management System
LOGISTEED Solutions shall formulate personal information protection management rules and thoroughly implement its personal information protection management system, in order to raise awareness of the importance of protecting personal information among officers and employees, and to support the appropriate use and protection of personal information.In addition, LOGISTEED Solutions shall maintain and continue to improve these rules.
(2) Collection, Use, Provision, and Prohibition of Use beyond the Original Purpose of Personal Information
In consideration of the fact that LOGISTEED Solutions is entrusted with the customer's information in its business activities, LOGISTEED Solutions shall establish a management system for personal information protection specific to each operation, and appropriately handle the collection, use, and provision of personal information according to the established rules.
LOGISTEED Solutions shall not use personal information for other than the purpose of such information, and shall take measures to prevent such misuse.
(3) Implementation and Corrective Actions of Safety Measures
In order to secure the accuracy and safety of personal information, LOGISTEED Solutions shall implement measures such as managing access to personal information, restricting the means for external use of personal information, and preventing unauthorized external access in compliance with the rules for information security, and thereby prevent the leakage, loss, alteration, or destruction of personal information.
If some security issues are identified, LOGISTEED Solutions shall identify the cause and take corrective action.
(4) Compliance with Laws and Codes
LOGISTEED Solutions shall comply with laws and regulations, guidelines prescribed by the government, and other codes regarding the handling of personal information.
Moreover, LOGISTEED Solutions shall adapt its personal information management rules to these laws, guidelines, and other codes.
(5) Respect for the Rights of the Individual Concerning Personal Information
When LOGISTEED Solutions is requested by an individual to disclose, correct, delete, or stop using or providing personal information, or when LOGISTEED Solutions receives a complaint or request for consultation, LOGISTEED Solutions shall respond in good faith, respecting the rights of the individual pertaining to the personal information.

2. Handling of Personal Information
1. Definition of personal information
LOGISTEED Solutions protects and manages personal information with the utmost care and to the best of our ability in accordance with the Personal Information Protection Policy.
LOGISTEED Solutions defines personal information as information concerning an individual, which can identify a specific individual by name, date of birth, or other description contained in such information, or by number, symbol or other code assigned to an individual, image, or voice (including information that cannot identify an individual by itself but can be easily cross-checked with other information and thereby identify a specific individual).
Furthermore, personal information includes not only information that can identify an individual but also any and all information that expresses a fact, judgment, or assessment concerning the attributes of an individual, including an individual's physical characteristics, property, occupation, or status.
2. Scope of Application
This document, "About Personal Information Protection," prescribes LOGISTEED Solutions's handling of all personal information concerning you, customers, and suppliers.
3. Purpose of Use of Personal Information
LOGISTEED Solutions will use the personal information we obtain from you, customers, and suppliers only to the extent necessary to achieve the purpose stated in each item of the following table.
When LOGISTEED Solutions acquires personal information, LOGISTEED Solutions will publicly announce or notify you of the purpose of use unless the purpose of use has already been publicly announced.
When any of the following cases applies, however, LOGISTEED Solutions will not publicly announce or notify you of the purpose of use:
- Cases where publicly announcing or notifying you of the purpose of use is likely to harm the life, body, property, or other rights and interests of you or a third party,
- Cases where publicly announcing or notifying you of the purpose of use is likely to harm the rights or legitimate interests of an organization concerned,
- Cases where it is necessary to cooperate with a government agency or a local public body in the execution of affairs prescribed by laws and regulations, and wherein publicly announcing or notifying you of the purpose of use is likely to impede the execution of said affairs, or
- Cases where the purpose of use is deemed to be clear from the circumstances of acquisition.
Note that when LOGISTEED Solutions has you, customers, or suppliers provide personal information directly, LOGISTEED Solutions will clearly specify, as necessary, matters required for its acquisition including the purpose of use, and will obtain consent from the you, customers, or suppliers.

Of the above, personal information provided based on outsourcing, personal information provided from third parties, including companies, organizations, etc., based on your consent, security (surveillance) camera video information acquired by publicly announcing the purpose of use, etc., are not subject to the LOGISTEED Solutions retained personal data because LOGISTEED Solutions has no authority to respond to requests for disclosure, etc.
4. Provision and Outsourcing of Personal Information to Third Parties
- LOGISTEED Solutions will not provide your personal information to any third party without obtaining your prior consent.
However, the following cases are excluded:
- When required by laws or regulations,
- When provision is necessary to protect the life, body, or property of an individual and obtaining your consent is difficult,
- When provision is particularly necessary for improving public health or promoting the sound development of children and obtaining your consent is difficult,
- When there is a need to cooperate with a government agency, local public body, or an individual or entity entrusted by such government agency or body in the execution of affairs prescribed by law and there is a risk that obtaining your consent may impede the execution of those affairs,
- When the handling of personal information is outsourced to a third party within the scope necessary for achieving the purpose of acquisition and use,
- When provision of personal information is due to the succession of business owing to a merger or other reason, or
- When it is information concerning the officers and shareholders of a corporation or other organization included in the information of the corporation or other organization concerned, and the provision of information has been publicly disclosed or announced by the corporation or other organization concerned, in accordance with laws and regulations.
- LOGISTEED Solutions may outsource the handling of personal information within the scope necessary for the purpose of use of the personal information.
LOGISTEED Solutions will establish company standards concerning the selection of outsourcees and conduct the screening of these. Likewise, LOGISTEED Solutions will undertake appropriate supervision and management of outsourcees.
Furthermore, LOGISTEED Solutions will use personal information entrusted by customers within the scope of business prescribed in an outsourcing contract and will clarify in that contract the handling of personal information at the time of termination of that outsourcing contract.

6. Handling of Specific Personal Information
- In the handling of Specific Personal Information, LOGISTEED Solutions complies with the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure (hereinafter referred to as the "Act on the Use of Numbers"), the Act on the Protection of Personal Information, and the Guidelines for proper handling of Specific Personal Information (for private entities).
- In addition to the Personal Information Protection Policy, LOGISTEED Solutions has established a Basic Policy for the Proper Handling of Specific Personal Information to ensure the proper handling of Specific Personal Information.
- LOGISTEED Solutions shall acquire and use Specific Personal Information to the extent necessary to achieve its purposes within the scope of use of Specific Personal Information in regard to the execution of administrative procedures concerning social security, tax, and disaster measures prescribed in each item of Article 9 of the Act on the Use of Numbers.
The main scope of use of Specific Personal Information handled by LOGISTEED Solutions shall be as follows:
- To complete necessary documents, such as various legal records including tax withholding slips for salary income/retirement income, salary payment reports, employment insurance notifications, notice of qualification of health insurance/welfare annuity insurance of the insured with Specific Personal Information provided to LOGISTEED by employees, etc., to submit to the tax office chief, municipal mayor or Japan Pension Service, etc.
- To complete various payment records such as records of payment of compensation and fees, records of payments of dividends, distribution of surplus and interest on guaranty capital, records of payment of real estate usage fees, etc., and records of payment of consideration for the transfer of real estate, etc., with Specific Personal Information provided to LOGISTEED by employees, etc., to submit to the tax office chief.
- To execute business for handling Specific Personal Information entrusted to LOGISTEED Solutions by an administrative agency or other business operator.
- LOGISTEED Solutions will not provide your Specific Personal Information to any third party unless prescribed by laws and regulations, etc.
Furthermore, LOGISTEED Solutions will not engage in the joint use of such information.
However, whenever any of the items prescribed in Article 19 of the Act on the Use of Numbers (Restrictions on the Provision of Specific Personal Information) applies, LOGISTEED Solutions may provide Specific Personal Information.
- LOGISTEED Solutions may outsource the handling of Specific Personal Information within the scope of the purpose of use prescribed in laws and regulations, etc.
- If you request disclosure, correction, addition, deletion, suspension of use, suspension of provision to third parties, or notification of the purpose of use of Specific Personal Information held by LOGISTEED Solutions, or if you wish to file a complaint, the procedures shall be as stated in LOGISTEED Solutions's "Request for Disclosure of Retained Personal Data, Complaints, Requests for Consultation".
7. Safety Management Measures for Proper Handling of Personal Information
In order to make efforts as an organization to properly handle personal information, LOGISTEED Solutions has formulated a personal information protection policy, and also formulated internal rules, such as the personal information protection management rules and guidelines, according to said policy.
LOGISTEED Solutions also has developed a system to periodically check and evaluate whether LOGISTEED Solutions's internal rules comply with laws and regulations, and JIS Q 15001, which is the privacy mark compliance rules.
In addition to the development of these rules, LOGISTEED Solutions takes specific safety management measures to prevent leakage, loss, or damage of personal information from the following five aspects (understanding of organizational, human, physical, technical, and external environment) when LOGISTEED Solutions actually handles personal information.

LOGISTEED Solutions confirms the system for protecting personal information in the country where the relocated destination is located by appropriate and reasonable methods, using the website of the Personal Information Protection Commission, etc.

11. Request for Disclosure of Retained Personal Data, Disclosure of Records of Provision to Third Parties, Complaints, Requests for Consultation
